Complaints Procedure

Perspective Mediation is committed to the highest standards of professional conduct. If a party is dissatisfied with the service provided by the Agency or an appointed Mediator, we encourage the use of this formal procedure to ensure a thorough and impartial review.

Please Note: This procedure applies to administrative and procedural service standards. It does not apply to the outcome of a mediation, as all settlement decisions remain the sole responsibility of the parties involved.

1. Initial Informal Resolution

In the first instance, we recommend that you raise your concerns directly with the individual involved, as many issues can be resolved through immediate clarification or dialogue.

2. Formal Complaint Submission

If the matter is not resolved informally, you should submit a formal complaint in writing. This should be addressed to the Head of Standards at Perspective Mediation via email (admin@perspectivemediation.co.uk). Your submission should include:

  • The case reference number and date of mediation.
  • A clear description of the nature of the complaint.
  • Any relevant supporting documentation or correspondence.

3. Investigation and Response

The Head of Standards, or an appointed Nominee Director who was not involved in the mediation, will acknowledge receipt of your complaint within 5 working days. A full investigation will be conducted, which may include interviewing the appointed mediator and reviewing contemporaneous case notes.

A formal written response detailing the findings and any proposed remedial action will be issued within 21 working days of the complaint acknowledgement.

4. Final Internal Review

If you remain dissatisfied with the initial response, you may request a final review by the Board of Directors. This request must be made within 14 days of receiving the initial response. The Board will provide a final agency decision within a further 14 working days.

5. External Appeal

If the complaint remains unresolved after our internal processes have been exhausted, you may have the right to appeal to the Civil Mediation Council (CMC), provided the complaint falls within their jurisdiction. Details on the CMC’s individual complaint requirements can be found on their official website.
